How to use attachments

In NorfelloCMMS attachment is a file of any kind that has been attached to an asset or an asset type. When you want to associate a file to one asset, you attach the file to that asset. When you want to associate a file to many assets of the same type, you attach the file to the asset type, which all the assets belong to.

Usage example

Suppose we have the minimalistic asset hierarhcy found below:

There are two "Real estate" assets with icons http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/house.png?format=raw , which both have sub-asset "AC (Air conditioning)". Both "AC (Air conditioning)" assets have the same asset type "Air conditioning - XXX" with icon http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/machine.png?format=raw , e.g. they have the same manufacturer and model XXX.

Attaching files to an asset

Suppose you have a plan drawing of the real estate "HEADOFF (Head office)" and you want to attach it to the asset. Each real estate has it's own plan drawings, so you want to attach the file to one asset only. To do so you have:

• Login as a user who is authorized to view and attach files to the asset "HEADOFF (Head office)".
• Select the asset "HEADOFF (Head office)" from the asset tree at left.

• Select Attachments from the top menu. You will see a list of attachments attached to this asset.

• Click http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/ab.png?format=raw Attach file action.
• Click Browse button to choose the file you want to attach to the asset with your web browsers open file dialog. Find the file and choose it. You can write a name for the attachment if you want, filename will be used as name if name is not given.

• Before you attach a file you can preview its permissions by clicking Permissions.
• Click Attach file button.

Viewing and downloading attachments

Under the Attachments menu you can view the list of attachments in the selected asset by clicking http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/lb.png?format=raw List.

From the attachment list you can for example:

• View more details on an attachment by selecting it from the Attachment column.
• Download an attachment by clicking http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/db.png?format=raw Download from the Actions column.
• Remove attachments by checking the Remove column and clicking Remove selected button.

On the attachments details page you can also view and edit, if you are authorized, attachments permissions by clicking http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/pb.png?format=raw Permissions.

Attaching files to an asset type

Suppose you have a technical or user manual for the air conditioning systems of type "Air conditioning - XXX" and you want to attach it to all air conditioning assets of this type. To do so you have to:

• Select an asset of type "Air conditioning - XXX" from the asset tree.

• From the Type: row select the asset type http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/machine.png?format=raw Air conditioning - XXX.

• Find the file and attach it, just like we did above when we attached a file to an asset.

Viewing and downloading type specific attachments

You can see a list of type specific attachments for an asset by selecting http://cmms.norfello.com/cmms/attachment/wiki/AttachmentsHowto/lb.png?format=raw Type specific list action. The actions in the list function similary as the ones in the list of assets attachments.

The only difference between type specific and "regular" attachments is the way they are associated to assets.
